  • A Bachelor’s Degree and four years experience or a combination of post high school education and experience equal to eight years.
  • Four years experience with collections management to include proper handling, installation, preservation and/or maintenance.
  • Experience managing traveling exhibition logistics and/or object shipping and receiving.
  • Ability to communicate effectively verbally and in writing.
  • Ability to prioritize, organize and perform multiple work assignments simultaneously.
  • Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules and regulations.
  • Computer skills including experience with Collections Management databases to  include TMS.
  • Proof of a valid Driver’s license or ability to obtain.


Background Check Requirements:
This position requires successful completion of a criminal history background check to include fingerprinting.

Experience in coordinating shipping and receiving activities to include packaging products for shipment and delivery, receiving inbound packages,  and processing appropriate documentation.

Knowledge of art storage and display methods, techniques, and procedures to include 2 years experience with art storage and display.

If not otherwise specified, schedule is M-F, 8-5.  May be required to travel (nationally or internationally) to serve as a Museum courier.  Assignments are based on the needs of the Museum.  Courier training and certification is required prior to the incumbent serving in this capacity.

Other Information:
The John & Mable Ringling Museum of Art, Sarasota, FL is comprised of three museums on a 66-acre bay-front estate.  Recognized as the official State Art Museum of Florida, the museum is under the governance of The Florida State University (FSU) and is the largest university museum complex in the nation.

Responsible for the care and registration of artwork and artifacts for the Ringling Museum as well as incoming and outgoing exhibitions/loans.

Coordinates all aspects of incoming and outgoing exhibitions including but not limited to contracts, loan documentation, shipping logistics, insurance, couriers.

Works with Collections Manager to establish collection management system access and administration protocols; works with Collections Manager and Curatorial Division to establish protocols and standards for data entry, authority controls.

Responsible for administration of The Museum System (TMS, Gallery Systems) collections management software and database.  Creates and updates TMS user manuals for database integrity and data entry standards. Trains new staff in database usage. Performs registration data entry.  Responsibility for producing reports, and database cleanup.   Collaborates and works closely with the Office of Information Technology on system administration, upgrades and developing user specifications for reports and programmatic modifications.

Other registrarial duties include assisting with interns and fellows, acquisitions, loans, inventory, generating related paperwork, producing receipts for loans and potential acquisitions, compiling quarterly and annual reports, and responding to collection inquiries.  Assists in digitization of collection and preparation of records for public access.  Handles requests from outside scholars for information relating to collections or exhibitions.  Assists with the development of registrar files on collection objects and assures accuracy of all records.

This is an A&P (Administrative and Professional) position.
